Privacy policy

This document is published as a draft while it is under review. It states our actual practice; the wording may still change.

In short

  • We hold the work records your workspace puts in — people, projects, hours, rates and approvals.
  • Your data is stored in Australia and is not sold, rented or used to train anything.
  • We do not track you across the web. This website sets no cookies and carries no analytics.
  • You can export everything your workspace holds, and ask us to delete it.

This policy explains what INTHUB Solutions Pty Ltd (we, us) does with personal information in CliqHours. It is written to be read, not to be survived.

Two different relationships

Most of the personal information in CliqHours is put there by a workspace — a company that uses the product. For that information the workspace decides what is collected and why; we hold and process it on their behalf. If you are a contractor or an administrator using CliqHours at work, your employer or the company that engaged you is the first place to ask about your records.

Separately, we hold a small amount of information about people who contact us directly or who run a workspace. That is ours, and this policy governs it directly.

What we hold

  • Identity for sign-in — an email address, and the workspaces it belongs to. There are no passwords: signing in sends a one-time code to that address.
  • Work records — the person's name as their workspace recorded it, the projects and engagements they are on, the hours they enter, comments they write, and the approvals, corrections and send-backs applied to those hours.
  • Rates — pay rates, and bill rates where a workspace records them, held against an engagement.
  • An audit record — who did what and when, inside a workspace. This is a product feature, not incidental logging: it is the thing that lets a disagreement be settled.
  • Messages you send us — what you type into the contact form or email to us, and the address you sent it from.
  • Operational logs — technical records of requests to the service, kept to run and secure it.

What we do not hold

  • Payment details. The product is free during early access and we hold no card information at all.
  • Location, device monitoring or screenshots. CliqHours records hours a person entered. It does not observe how or where they work.
  • Tracking across other websites. This website sets no cookies, runs no analytics and carries no advertising or third-party tags.
  • Sensitive information. We do not ask for it and the product has no place to put it.

Why we hold it

To run the product: to let people sign in, record hours, have them approved, and produce a statement of an approved period. To keep the service secure and to diagnose faults. And to reply when you contact us. We do not use your data to train machine-learning models, and we do not sell, rent or trade personal information.

Where it lives

In Amazon Web Services, in the Asia Pacific (Sydney) region. Data is encrypted in transit and at rest by the managed services that hold it. Our service providers include AWS (hosting, identity and email delivery). Where a provider processes data outside Australia in the course of delivering a message, it does so as our processor and under contract.

How long we keep it

For as long as the workspace exists, because a timesheet record's value is that it is still there when someone asks about it later. When a workspace is closed we delete its data on request, and we will confirm when that is done. Contact messages are kept while they are useful and deleted after that.

Your rights

You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. If the information belongs to a workspace, we will usually need to involve that workspace's administrator, because it is their record. We will tell you if that is the case rather than simply refusing.

We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). If you are not satisfied with how we have handled a request, you can complain to the Office of the Australian Information Commissioner.

Security

Sign-in is by one-time code, so there is no password to reuse or leak. Every request is checked against the workspaces the signed-in person actually belongs to, on the server. Removing someone from a workspace ends their access on their next request. More detail is on our security page.

Changes

When this policy changes we publish the new version here with a version number and an effective date, and the version history at the foot of this page records what changed. If a change materially affects your rights we will tell affected workspaces rather than relying on you to re-read the page.
